Duties of Officers and Committee Chairs for the Osgood K-1 Center PTO
The President Bylaws: The President will preside at all membership meetings. He/she will prepare the agenda for the general meetings. He/she shall be the Chairman of the Board of Directors. He/she shall present at each annual meeting of the organization an annual report of the work of the organization. He/she shall appoint all committees, temporary or permanent. He/she shall see all books, reports and certificates required by law are properly kept or filed. He /She shall be one of the officers who may sign the checks or drafts of the organization. He/she shall have such powers as may be reasonably construed as belonging to the chief executive of any organization.
Other duties: Shall be in charge of PTO email while allowing officers to access account when needed. Shall work with all committee chairs to keep them informed and answer questions as needed. Shall organize all PTO files at the end of the PTO school year term and transfer them to incoming officers and committee members.
The Vice President: Bylaws: The Vice President shall assist the President, perform Presidential duties in the President’s absence, and perform duties assigned by the President. He/she will review the monthly bank statement with the treasurer. He/she will maintain membership data.
Other duties: Shall be in charge of maintaining current Osgood K-1 Center PTO website and Facebook page. He/she shall be in charge of organizing Kindergarten Roundup table volunteers as well as supplying PTO membership applications and PTO information to new parents on the designated day.
The Secretary: Bylaws: The Secretary shall keep the minutes and records of the organization in appropriate books. Minutes shall be submitted electronically to the President for future approval, as well as possible publication in the school newsletter and website. He/she shall assist the President in handling any necessary correspondence.
Other duties: Shall be in charge of passing around an attendance sheet at each membership meeting. Shall perform other duties assigned by the President.
The Treasurer: Bylaws: The Treasurer shall have the care and custody of all monies belonging to the organization and shall be solely responsible for such monies or securities of the organization. He/she shall cause to be deposited in a regular business bank or trust company a sum not exceeding $10,000 and the balance of the funds of the organization shall be deposited in a savings bank except that the Board of Directors may cause such funds to be invested in such investments as shall be legal for a non-profit corporation in this state. He/she must be one of the officers who shall sign checks or drafts of the organization. No special fund may be set aside that shall make it unnecessary for the Treasurer to sign the checks issued upon it. He/she shall present a written financial report at each membership meeting and as requested.
Other duties: The Treasurer shall present a budget for the year in October. He/she shall keep committees up to date on their budgeted money. In January of the current school year, the Treasurer shall file the required Annual Report with the ND Secretary of State and also file Form 990-N with the IRS after the end of the fiscal year (July 31), and before the December 15 due date. He/she shall maintain the records and receipts for all PTO financial transactions and perform duties as assigned by the President.
The Events Chair/Committee has the honor of coordinating special events for the students and/or families at Osgood. The committee determines which events to pursue and takes care of the planning and implementation while working with the school staff. Some of our past events for example are “Bingo Night”, Chuck-E-Cheese nights, Penny & Pals, Literacy Night, Theatre performance by the FMCT, and the YMCA Family Night.
The Book Fair Chair has the privilege of working with Scholastic to organize the Book Fair at Osgood during conferences. This chair creates and fills a schedule to staff the Book Fair dates, organizes the set-up and take-down of the Book Fair, and gets the proceeds to the PTO treasurer for deposit. The chair will also be in charge of ordering books for the library or whatever the PTO decides to do with the scholastic profit.
The Collections Chair coordinates all the Box Tops, Campbell’s’ Soup Labels, and Cash Wise Receipt points. The chair will coordinate with Box-Tops to submit labels for reimbursement. The chair determines how labels are collected and gets them prepared for submission. He/she helps make the determination on whether Osgood participates in any other label collection and submission options, taking care of the necessary tasks. Also, he/she will be in charge of organizing box top contests for students as well as prizes for the winning classrooms.
The Teacher Appreciation Chair/Committee has the opportunity to show our teachers and staff members how much we appreciate their hard work. This includes recognition of Administrator's Day and National Custodial Day in October, National Education Week in November, National Food Service and Counselor days in February, Paraprofessionals Day and Administrative Assistant Day in April, and Teacher Appreciation Week in May. They will also be in charge of organizing the teacher meals during conferences. The committee works with a budget and determines the gifts and recognition.
The Fund-Raising Chair will carry out the planning and implementation of the ONE fund-raiser for Osgood at the beginning of the school year. Currently, the PTO has determined to use "Club Choice Foods". The chair will be in charge of submitting the fundraiser application in the spring to the district for the following school year fundraiser. Only one student fundraiser is allowed during the school year. Other fundraising may be done by PTO members for the PTO such as selling T-shirts, Chuck-E-Cheese sales nights, or Skateland sales nights, etc.
Yearbook Chair/Committee will be in charge of coordinating with the teachers and staff as well as the yearbook company (Rick Westra Photography). The chair is in charge of getting pictures from teachers and staff, collecting money for the yearbook, organizing pictures, proofing yearbook pages, making corrections to proof pages, and submitting the order before the set deadlines.
Santa Wish List Committee will be in charge of organizing teacher/classroom wish lists per the budget and purchasing all the gifts before the December PTO meeting. Gifts are usually wrapped at that meeting by PTO members. This committee will also be in charge of organizing the Santa visit and helping him during the visit.
